Removing the logistical nightmare
of contractor access for over 2,000 sites
If contractor access is required for only a handful of sites on a regular basis, keyholding can become a challenge. Now, what if there were over 2,000 sites to manage with visits taking place daily?
Allocating a dedicated person to greet contractors at each location would be incredibly costly, as would bringing keys to each site. Relying on contractors to collect and return keys could be somewhat unsecure and, once again, would incur costs. Furthermore, if something goes wrong with visit planning and work logs, you can get ready for missed visit charges, which can add up to significant sums fairly quickly given the number of properties…
That is why a leading property and asset management company contacted Keynetics. They were looking for a straightforward and quick solution to a complex issue. Normally, the “straightforward” and “quick” combination is either impossible or too good to be true, resulting in more problems than solutions. Well, this was not the case with the Keynetics solution.
Keynetics helped to set up and roll out its key management solution across thousands of short-term rental properties, prepared the access management platform and trained contractors on app usage for key access.
For the client organisation, which suffered from project delays and missed visit charges, statistical access data from the platform was the key. They were now able to analyse all visit data, track contractor time spent on site and, most importantly, reduce missed visits by 90% (base on the analysed visit data) because keys were always available to the allocated contractors at the point of entry.
Whenever keys were not returned to a key safe, the platform enabled them to identify the last key holder and access their contact details. In addition, the system’s traceability and transparency fostered more careful key handling and increased accountability.
